TERMS AND CONDITIONS OF VENUE HIRE

Thank you for your interest in hiring SDS Studio for your event. Please read the information below carefully. 

HIRE COSTS

$30 per hour day time hire Monday to Fridays (until 3.00pm)

$40 per hour afternoon/evening hire Monday to Fridays (from 3.00pm)

$50 per hour weekends

$100 Cleaning Bond required for all events or full-day bookings

(Refunded after your event once studio check has been done and keys returned)

Full Day Bookings are capped at $400

  1. It is a condition of hire that our hirers leave the venue as they found it, including sweeping, mopping of floors, cleaning of mirrors, tables and chairs packed away upstairs in our storage area and disposal of rubbish (large skip bins on site for rubbish removal). We supply all cleaning supplies including mops, brooms, bin liners, washing up supplies etc.

  2. Please note we have fitness, yoga and ballet hirers in from early Monday morning right through the week. If hirers have not mopped the floors from weekend events, the floors are almost always sticky, even if they ‘look okay’ when your event is done. Please ensure the floors are well mopped for the following hirer. 

  3. One-off bookings are secured once a 50% deposit is paid. Regular hirers are not required to pay a deposit 

  4. A $100 cleaning deposit is required for all full day or lengthy bookings (usually where a large event is taking place) and is returned if venue is left clean with no damages including sweeping and THOROUGHLY mopping floors with wet mop and bucket, windows and mirrors cleaned with window cleaner, plus kitchens and bathrooms clean and tidy.

  5. Keys are only able to be collected once full payment of invoice is received.

  6. Invoices are sent via email with a link to Venue Hire T&C. Invoices must be paid in full 2 weeks prior to your booking. Direct bank transfer is our preferred method of payment. 

  7. Hire times include set up and pack up times. Please allow enough time for pack up, set up and clean up as we can and usually have multiple hirers on weekends. As a guide, we find most hirers need 1 - 2hrs before their event to set up and then 2 - 3 hrs after the event to pack and clean up.

  8. If you have a change in circumstances for your event, please let us know as soon as possible. We rely heavily on our weekend venue hire to cover our operating expenses. Giving as much notice as possible helps us to be able to maintain our financial commitments and keep our venue available for events in the long term. If we receive no confirmation from you and cannot get hold of you, your booking may be cancelled.

  9. If you need to cancel your booking and have already paid, your booking will be refunded in full IF you give 7 days or more notice. If you give LESS than 7 days notice, you will forfeit 25% of your total invoice. Cancellations on the day will forfeit 50% of your total invoice.

  10. Keys can be picked up 3 days prior to your booking and returned 3 days after your booking.

  11. If there is any damage to the venue, a fee relevant to the repair of the damage will be charged.

  12. Surveillance cameras are in use throughout the studio. These are in place to ensure safety and deter theft/damages to the venue. Please be mindful of this

  13. Any losses from the venue will also be charged to hirers. For example all tables, chairs, cutlery, crockery, glass wear, platters, bowls, decoration, studio equipment etc need to remain at the venue. We take great care to provide a beautiful space and ask that hirers take great care to leave items from the studio as they found it.

  14. Hire fee includes use of chairs (60) and folding tables (12), plus all items mentioned below in ‘Booking Inclusions’

  15. Hire fee does not include: speaker - you will need to provide your own speaker and music. Popcorn machine is available for hire upon request. 

  16. The moving of heavy furniture such as the couch, is not permitted. It almost always scratches our timber floors.

  17. Children are not permitted upstairs in our chair/table storage area.

  18. Gaffer tape is not permitted for use.

  19. No sparklers are permitted to be used in our venue as they damage our floors. Candles are permitted

  20. Food vans are not permitted in our shopping centre complex.

  21. Smoking and vaping is not permitted inside the studio

  22. Alcohol consumed in the venue is subject to approval, and may incur an extra fee

  23. Only access into venue is via one flight of stairs - by making payment for your booking, you accept full responsibility for the safety of yourself and attendees of your event


Clean Up 

It is required for all hirers to clean up after their event and leave the studio in the same state as they found it. There will be other hirers in after you and studio must be left in suitable condition for the next hirer.


Please see checklist below for clean up procedure:

  • Remove and dispose of all decorations

  • Empty all bins and dispose of all rubbish. There are skip bins available for use in the centre car park, located between the IGA and the restaurants.

  • Re-line all studio bins after use

  • Remove all food from premises

  • Floors must be cleaned - this includes a full vacuum and a full mop. Brooms and mops are stored in the cupboard next to the far end bathroom. Dyson stick vacuum is located behind the reception desk in the corner - please empty the dust compartment after use and plug back in to charge. Garbage bags, cleaning supplies, paper towel etc is stored under the sink in the small kitchen.

  • Clean mirrors and glass doors at front of studio (both inside and outside). Attention to be paid to mirrors - no smudging

  • Ensure kitchen, prep room and bathrooms are clean.

  • Turn off all lights

  • Turn off airconditioner/fans

  • Pack away all furniture as you found it. Chairs and tables packed away upstairs neatly against wall

  • Lock all doors when you leave including the trifold door (ensure the latch in the middle has been switched to the locked position)


Booking inclusions

Your hire fee includes the use of the full venue and the facilities listed below.

  • Tables and chairs

  • Commercial fridge (upon request) and small fridge

  • Large food warmer

  • Small benchtop oven

  • Microwave

  • Serving platters/plates/bowls etc located on the wooden shelving unit in the prep room

  • Appliances located on wooden shelving unit in prep room

  • Crockery and cutlery (located in the black cupboard in the prep room)

  • Extra utensils (located in the kitchen drawers)

  • Kettles

  • Urns

  • Coffee cups and crockery located in the kitchen top cupboards

  • Paper towels and cleaning products for post-event clean up

  • Fairy lights on studio back window and (upon request) plug-in disco lights

  • LED strip lighting at back of studio and in side hallway access - has a remote to function

  • 20 lime green yoga bolsters and grey yoga blocks for yoga classes, workshops and events

  • Large gold balloon arch (upon request)

Please note that our venue hire 100% goes towards our operating costs. It is therefore really important that hirers 1. Leave all items that belong to our venue, at the venue, 2. The venue is left in the same condition as you found it. Your cooperation in the above is greatly appreciated, ensures that we can continue to offer our unique venue over the longer term and that each and every hirer can have a positive experience while using our venue as they come in after the previous hirer.
